Information for on-site sponsors of PGConf.EU in Valencia, Spain

Thank you for sponsoring PGConf.EU this year. This guide contains information you need to prepare for the conference, including information on shipping, exhibitor setup, venue logistics, equipment hire, and other practical arrangements. Make sure you also check the Sponsor FAQ for further information.

Evening Events

Some days will hold officially organised evening events. If you are planning your own events or dinners, we suggest that you avoid scheduling them on these evenings where possible. Further details about the events themselves are provided directly to the attendees.

  • Monday: Speakers Dinner (does not include sponsor track speakers)
  • Tuesday: Official conference social event
  • Wednesday: Sponsor Speakers Reception (1 hour after the last talk)

Exhibition

Stand Size

Sponsor stand sizes are:

Gold 2.5m × 1.5m

Sponsor walls, roll-ups, and similar displays are permitted provided they fit within the allocated space.

Stand Size

Each sponsor stand comes with two chairs and two 0.6 × 1.5m tables, which can be placed side by side to form one standard table.

If you prefer a different setup, please contact us by 5 October at the latest and we will check with the venue what is possible. Please do not contact the venue directly. For details on equipment available for hire, see the Equipment on Site section below.

Each sponsor stand will be equipped with a standard 230V power outlet so you can charge or power devices.

Setup and Teardown

The exhibition will run on:

Please note that there will be no sponsor exhibition on Friday, as that day is dedicated to Community Events.

Sponsor stand setup is scheduled for Tuesday from 07:00 to 09:00.

As we will not have access to the venue the day before (unlike in previous years), it is essential that all exhibitors arrive on time to complete setup before the Tuesday morning registration rush. The welcome address is at 09:30 and the registration desk opens at 08:30.

On Tuesday evening, during the Community Reception, sponsor stands can optionally be kept open. Attendees are allowed and encouraged to continue interacting with sponsors during this time.

Security

Please note that the sponsor exhibition is located in a public area of the venue and is only partially secured outside conference hours. Sponsors are therefore responsible for the security of any equipment, materials, or personal belongings left at their stands overnight.

A storage room will be available for those who wish to store equipment between conference days. You will be responsible for moving your own equipment in and out of the room. The storage room will be locked overnight and will be available on Tuesday and Wednesday nights. It will not be available after the exhibition ends on Thursday.

Sponsor Desk Layout

Stand locations are assigned by PostgreSQL Europe — sponsors cannot choose their own position. The layout will be provided closer to the event.

Swag and Giveaways

There will be no conference pack or conference bags. You are of course free to give away swag at your sponsor stand.

Shipping

Logistics

Shipping to the venue is managed through Resa Expo Logistics, a company working alongside the conference centre with extensive experience handling deliveries to Palacio de Congresos.

You will be shipping items to them; they will store and deliver everything to the loading dock at the venue by Tuesday morning before 07:00. Please contact Resa directly regarding the exact address, delivery timings, tracking, and related logistics.

Please mark your shipment clearly so that your items can be easily identified when you collect them from the loading dock on Tuesday morning.

Any costs associated with shipping, storage, delivery, and customs clearance through Resa are the sponsor's responsibility. PostgreSQL Europe will not have visibility of individual shipments or their delivery status.

International Shipments

If you are shipping from outside the EU, please allow sufficient time for customs clearance, as delays are common. Where possible, we recommend ordering promotional materials from a European supplier.

Resa Expo Logistics can assist with customs clearance, but any associated expenses must be covered by the sponsor.

Return Shipping

You will need to make your own arrangements for any items that need to be shipped back. The conference floor will be open until 20:00 on Thursday — please organise collections well before then.

All items must be collected from the conference centre within two working days. Resa Expo can assist with return shipments; please contact them directly. This service is not covered or organised by PostgreSQL Europe.

Equipment on Site

Bringing Your Own Equipment

Sponsors are welcome to bring their own equipment (such as roll-up banners), provided it fits within the space allocated in their sponsorship package.

If you are planning to bring larger items — such as display screens, furniture, or other bulky equipment — please obtain our approval in advance. Some items may be restricted under the venue's terms and conditions.

Equipment Hire

Additional equipment can be rented, or the standard tables and chairs can be swapped. The following items are available for PGConf.EU 2026:

For this conference, the choice is limited to the six items listed above. Other items will not be permitted.

The cost of equipment hire is not covered by PostgreSQL Europe and will be invoiced separately by the venue.

At the Conference Stand

Badge Scanning

As an on-site sponsor (Platinum or Gold), you have the opportunity to scan attendees' badges and collect their contact details, provided they have consented to badge scanning. Historically, around 15% of attendees opt out of badge scanning.

Drawing Attendees to Your Stand

We put a great deal of thought into the exhibition layout to ensure that sponsors receive good visibility and attendee traffic throughout the conference. The exhibition area is located in a central part of the venue, and coffee breaks, lunches, and other networking opportunities are designed to encourage delegates to spend time there.

From our experience, the highest visitor traffic is usually on the first day of the conference, particularly during registration, coffee breaks, lunch, and evening networking events. Activity is generally quieter during sessions and gradually decreases towards the end of the event. At the same time, quieter periods often lead to longer, more in-depth conversations, as some attendees deliberately visit sponsor stands outside the busiest times.

Sponsors who get the best results typically:

  • create an inviting stand that clearly communicates what they do;
  • have approachable staff who proactively start conversations;
  • offer a simple demo, giveaway, or interactive element that encourages people to stop;
  • use their Sponsor Track presentation (if applicable) to invite attendees to visit their stand, and use their stand to promote their talk;
  • ensure they have enough team members available during busy periods such as registration, coffee breaks, and lunch; and
  • always have someone at the stand throughout the day — some attendees intentionally seek out quieter moments to have more meaningful conversations.

Ultimately, meaningful conversations are far more valuable than simply counting visitors. We encourage sponsors to focus on creating opportunities for discussion and networking rather than maximising footfall alone.

Conference Tickets

Discounts and Vouchers

You may purchase as many attendee passes as you require, provided the conference has not sold out. Additional passes can be purchased through the Sponsor Portal.

As a sponsor, you are entitled to a number of complimentary conference passes based on your sponsorship level. Beyond these complimentary passes, no additional discounts are available.

Sponsored Talks — Speakers

Speakers on the sponsor track do not receive a free entrance ticket. Speakers who also have a regular talk accepted will receive a free ticket as standard.

Sponsor Desk Staff Tickets

Everyone attending the conference — including sponsor desk staff who are not attending the talks — must have a ticket.

Insurance

PostgreSQL Europe holds insurance for all PGConf.EU events.

Conference Attendees

We are currently estimating around 750–800 attendees for the conference. The venue has capacity for more, so numbers can be increased if needed. In 2023 we had just over 720 attendees, and in 2024 approximately 780.
